Role title

Supply Chain Invoicing and Cost Control Specialist

Your role

As a Supply Chain Invoicing and Cost Control Specialist in the Maintenance &Engineering Department, you will be responsible for supply chain Invoicing & cost control, therefore ensuring financial accuracy, transparency, and compliance across all Supply Chain activities. Our Maintenance & Engineering Department helps us to drive Aer Lingus’ ambition by ensuring the safe, reliable, and efficient operation of our aircraft.

 

Your responsibilities as a Supply Chain Invoicing and Cost Control Specialist will include:

  • Invoicing Accuracy & Order Management.
  • Approve and/or create related or linked service orders (e.g., Repair Orders or Exchange Orders) when additional charges are justified, particularly where system constraints allow only one order line per document.
  • Monitor and correct mismatches between orders and invoices, preventing cost leakage and delays.
  • Review receiving discrepancies and work closely with Inventory, Logistics, and AOG teams to resolve them promptly.
    Liaise with MI Team and Chase invoices from suppliers where no order reference has been applied, ensuring proper linkage between PO/RO and the invoice.
  • Support efforts to remove suppliers from credit hold by providing accurate financial updates and ensuring overdue items are unblocked through resolution of invoice disputes.
    Liaise with supply chain teams to drive Update of shared folders and dashboards used by MI/AP to ensure they have full visibility of all actions completed by the Supply Chain team.
  • Support weekly MI/AP invoice status sessions with accurate updates, reconciliations, and commentary on outstanding queries.
  • Take ownership of the SAP interface for Supply Chain related invoices: review, validate, and approve invoices for escalation to senior management.
  • Drive improvements in invoice processing workflows and support automation initiatives (e.g., RPA opportunities).
  • Support Supplier Management and Inventory teams, plus Airinmar, in validating cost structures for repair agreements, exchange fees, freight charges, and warranty considerations.
  • Maintain strong cost governance by tracking spend against budget, monitoring cost trends, and escalating deviations promptly.
  • Support the development, optimisation, and standardisation of processes that strengthen financial accuracy and supply chain performance.

Your qualifications and key criteria

We are looking for an individual with experience / qualifications in the following areas:

  • Minimum of 3 years of experience in logistics, supply chain, material planning or project coordination.
  • Degree in Finance, or Business, Supply Chain Management, Accounting, or a related field.
  • Strong understanding of invoice management, purchase to pay processes, and cost control principles.
  • Proficiency in SAP or AMOS, or other ERP systems used for orders, receiving and invoicing workflows (critical due to SAP interface ownership and AP handover requirements).
  • Solid working knowledge of financial documentation (PO/RO/Service Orders, SOA reconciliation, supplier billing formats).
  • Professional certification in Supply Chain, Procurement, or Finance (e.g., APICS, CIPS, IAAP, or similar).
  • Training or exposure to automation/RPA tools supporting invoice processing or cost control workflows.
  • Knowledge of aviation materials, MRO cost structures, and repair/exchange billing conventions.
  • Fluent written and spoken English.
  • Eligible to live and work in the EU.
  • Holder of a current unrestricted worldwide passport.
  • Able to pass a strict airport security vetting procedure which includes a 5-year background check* or be in possession of a current airside pass for the airport this position is based in Dublin.
