Role title

Management System Specialist

Your role

The Management System Specialist is a new role within the management system (Safety & Compliance Monitoring) and will play a crucial role in implementing, overseeing and maintaining the Aer Lingus management system applications. This role ensures that the organization’s Safety, Security, and Compliance functions operate efficiently and assists the organisation remain in full regulatory compliance. Additionally, the specialist will work with the wider Safety & Compliance departments by analysing operational safety & compliance data, identifying emerging risks and hazards, and recommending data-driven improvements. The role will also involve collaborating with other departments to ensure that the documentation management system (Docunet) is maintained and implemented to ensure system effectiveness and streamline digital documentation processes. Liaising with the system manufacture to ensure best practices, product enhancements are adhered to and implemented across the organization. The Management System Specialist while supporting the Safety, Security & Compliance departments reports to the Compliance Monitoring Manager. 

 

Document management system (Docunet):

  • Serve as the business administrator & superuser for the Docunet system.
  • Coordinate system administration with departmental admins.
  • Act as the main point of contact for Comply 365 regarding Docunet.
  • Monitor product updates and validate prior to implementation.
  • Ensure compliance library remains updated with regulatory changes.
  • Collaborate with cross-functional teams to resolve system issues and explore development opportunities.

 

Safety & Compliance Integrated platform (IQSMS):

  •  Serve as the business administrator and superuser for IQSMS.
  • Assist with project and technical teams in system implementation.
  • Coordinate system administration with departmental admins.
  • Act as the main point of contact for ASQS regarding IQSMS.
  • Monitor product updates and validate prior to implementation.
  • Support Safety & Compliance managers with system configuration and data analytics.

Your qualifications and key criteria

  • Experience in airline operations.
  • Suitable third level degree in a relevant discipline or equivalent applicable experience.
  • Knowledge of the EASA regulatory environment and relevant EU regulations (EU 965/2012, 1178/2011, 1321/2014, 2023/203).
  • Strong IT skills, including data analytics (Excel, Tableau, Power BI).
  • Understanding of company procedures and policies.
  • Understanding of Safety Management Systems and hazard identification.
  • Excellent communication and interpersonal skills.
  • Ability to work both independently and within a team.
  • Strong attention to detail and time management skills.
  • Project management capabilities.
  • Knowledge of Aer Lingus' Safety, Security & Compliance policies.
  • Fluent in English, both written and spoken.
  • Eligible to live and work in the EU.
  • Current unrestricted worldwide passport.
  • Provide three verifiable references.
  • Able to pass a five year security background check.
  • Able to pass a 5-year security background check*(or be in possession of a current airside pass for the airport this position is based in Dublin).
